Position Description

Applications are being received for the position of Children & Youth Ministries Administrator at Valley View Alliance Church in Newmarket.

This is a part time 20 hours/week ministry opportunity for someone wishing to join a vibrant worshipping community, passionate about the transformation of people into new, growing and fully-devoted followers of Christ.  

Reporting to the Student Ministries Pastor, the Children & Student Ministries Administrator provides Administrative leadership to bring excellence to our Children and Youth Ministry areas.  Valley View Alliance Church affirms the advancement of the use of administrative gifts and skill sets in our office and church community environments.  

Key responsibilities: Support to the Pastor of Student Ministries in managing the Administration of Ministry to Children, Youth & their families.   Promoting events, Registration, Attendance, internal and external communication, some reception support as a part of the office team.

In this role you would be serving along with the staff team, and the volunteers for both the Childrens Ministry and the Youth Ministry.  There is opportunity to create new systems and improve the funcitonality and efficiency of current administrative systems.

A successful candidate should be a team player and a gifted administrator who exceeds at planning, task management and prioritization.  They should have initiative and be forward thinking.  They will be required to manage a few volunteers, several administrative procedures, provide follow up on documentation, registrations and manage the administration related to both ministries and several events.

The candidate should expect to help develop a new culture for participant engagement & commitment as it relates to communication and registration, particularly with families and students.

The candidate should also be comfortable or familiar with MAC computers, the Google - gmail platform, spreadsheets, word processing and able to balance communication & design for promotional / published content.  It is expected that the candidate will both improve and refine our administrative processes to make them increasingly efficient, as well as making them increasingly accessible to students and their families.   Familiarity with KidCheck, or a similar program, is a strong asset.

Administrative:  To oversee, develop and streamline key administrative areas related to the Children & Youth Ministries at Valley View Alliance Church. Roles would include the following areas of responsibility: database & file management, reception, volunteer follow up, event registration, attendance data management and other related duties as required.

Communication:  Support the pastoral staff with ministry initiaitatvies and communcation efforts. This may include but not be limited to: graphic design, website/app, bulletin, internal and external advertising, and event coordination tasks. 

Reception Role:  Working with other office staff to create and maintain a professional office environment, and to care for those who reach out to our church or staff by phone, email or in person. Specific duties include working with current office staff and scheduling to provide f/t office coverage.

Administrative Team member with the Children & Student Ministries Pastor:  To administratively support the Children & Youth Ministries as necessary to help facilitate the participants, volunteers and leadership.

Required Skill sets:  Spreadsheets, email (google base);  database;  APP friendly;  website friendly;  social media capable;  strategize internal and external communications;  event management book keeping, creating reports.
