Title:                   Administration and Event Coordinator

Position Type:   Permanent Full-Time

Ministry:            Women’s Heart Engaging Network (WHEN)

Ministry Overview

Power to Change seeks to glorify God by helping people know Jesus Christ and change their world.

WHEN's mission is to help women from various language groups to know Jesus an experience His power to change their lives in Canada. Our vision is to connect women to Jesus Christ and to the local church. OurOur strategy is to provide opportunities in various languages for women in different cities to hear, experience and embrace the grace of Jesus Christ.

Our team members implement the following processes:

IDENTIFY people we want to connect to Jesus Christ and pray for them
INVITE them to a WHEN event to hear the grace of God through a woman’s faith journey
ENCOURAGE them to come to a Discovery Group to know more about Jesus Christ, develop a personal relationship with Him and connect to a local church

Position Overview

Be a part of an engaging and dynamic ministry that empowers women to discover a personally fulfilling life in Jesus. Through various events and outreaches, the Administration & Event Coordinator will have the opportunity to help plan ministry events, manage administrative tasks, and communicate with volunteers, partners, and ministry participants!

Primary Responsibilities:

Administration

•     Coordinate and set up meetings and events for directors and volunteer teams as needed

•     Ensure director’s calendar is kept up-to-date

•     Prepare agendas (D to chairs), attend meetings and take minutes as needed

•     Manage the electronic document filing system of agendas, meeting minutes, photos etc

•     Prepare reports for corporate on ministry summaries and financial reports

•     Document events, contact information, and small group information in a database

•     Perform general administrative tasks for the director as needed

Event Coordination

•     Research and liaise with venues to book events (approximately 8 – 10 per year) (D)

•     Attend planning meetings and take minutes as needed

•     Send out invitations as needed

•     Register and receive pre-payment from guests

•     Prepare materials for the event (D production)

•     Provide day-of coordination and setup for events and assist volunteers as required

•     Basic A/V and technical preparation including sound setup, creating and running the powerpoint

•     Balance event finances, registration and reimbursements

•     Post event: send out follow-up and next step emails

Finances

•     Submit and track reimbursements for all staff and volunteers

•     Basic bookkeeping: tracking donations, expenses, reimbursements and balancing

•     Prepare monthly financial reports for the Executive Team

Communications & Marketing

•     Proficiency in MailChimp to distribute communications to volunteers, guests, and donors (Train Cindy)

•     Design and coordinate content creation for quarterly newsletters

•     Create promotional, web and print material using templates and from scratch

•     Update the website as required with newsletters, current photos, revised content

Education & Experience:

•     Office administration

•     Working in a team, particularly with volunteers

•     Basic bookkeeping, income/expense and cash flow reports

•     Experience in coordinating and planning events

•     Post-secondary diploma and/or equivalent experience

Required Skills & Abilities:

•     Skilled in organizing people and information

•     Ability to work on multiple projects at once while prioritizing

•     Succinct and clear communication: verbal and written, using a variety of apps

•     Detail oriented: checks for mistakes and self-corrects

•     Ability to oversee and empower volunteers from a variety of cultures

•     Basic understanding of bookkeeping with the ability to prepare income/expense and cash flow reports

•     Highly skilled in Microsoft Office including Word, Excel, PowerPoint, and Publisher

•     MailChimp - designing campaigns, creating and managing mailing lists

•     Experience using databases and giving input to data base programmer for improvements

•     Experience in Google Sites, Google Drive, Word Press, Task Manager, and communication apps

•     Comfortable with AV equipment operation

•     Heart for mission and vision of WHEN

•     Ability to take initiative to solve problems

•     Ability to have a flexible schedule (several evenings & Saturdays during fall and spring event season)

•     Willingness to learn

•     Confident driving around Greater Vancouver with own car

Asset Skill

Second language: preferably Cantonese, Mandarin or Spanish

Other Requirements:
