Position Description

The Mustard Seed provides basic services - food, clothing and housing, and support services – education and employment, to those living in poverty within Alberta.

POSITION SUMMARY
Working under the supervision of the Director of Clinical Operations and Programs, the Administrative Assistant will perform a variety of general administrative and clerical services. The Administrative Assistant will be required to both take direction and work intuitively to support the completion of the programs’ goals and objectives in a professionally and clinically appropriate manner.

MAJOR DUTIES AND RESPONSIBILITIES
• Actively participate in the department’s strategic planning sessions;
• Work cooperatively with all team members to support the achievement of work plan activities designed to achieve identified goals and objectives;
• Operate office equipment such as computers, fax machines, photocopiers, voice mail messaging systems and computer scanning equipment to complete department tasks;
• Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the Director or designate;
• Coordinate and organize department meetings and conferences including meeting venue bookings, catering requirements, set up the room with audio-visual equipment and flip charts and tend to other requirements of department meetings;
• Complete internal and external correspondence, legal documents, form letters and other documents, and distributes them as directed;
• Prepare meeting agendas, records and distribute meeting minutes, and maintain organized files of same;
• Produce and/or assist in the production of all required internal and external reports;
• Regularly review progress on standard department deliverables and takes appropriate action to ensure timely completion of all department tasks;
• Coordinate liaison activities with other agency departments;
• Prepare monthly reports and code monthly credit card statements;
• Assist in data collection and research
• Other duties as assigned.

MINIMUM QUALIFICATIONS AND SKILLS
• College degree preferred
• At least 7 years of experience in the field or in a related area
• Proven administration assistant experience
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Strong organizational and planning skills
• Following skills are required: report writing, writing/verbal communication, data analysis, typing, discretion and judgment
• Proficient in MS Office

OTHER INFORMATION
• Time in excess of regular working hours may be required occasionally.
• Employment Security Check is required

• Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer
