Position Description

Position Title:  Executive Enrolment Assistant

Classification:  Full-Time
Responsible To:  VP for Enrolment
Purpose:  To provide the Enrolment Department with administrative assistance and front desk services.
Goal: To provide administrative service for the Enrolment Department and support the Enrolment team in achieving their goals.

Responsibilities:

  • Professionally represent the Enrolment Office via telephone, correspondence, emails, internet inquiries, and in person to the students, staff, and the public
  • Assist in the various office functions related to recruiting such as Encounter weekend, Campus Visit Days, and other campus conferences
  • Attend and participate in weekly staff meetings, having data documents completed accurately
  • Process all applications and related information, including review of transcripts, using Kingswood’s online system, maintaining a neat and well organized filing system with accurate records of files and computer database information on prospective students. Keep appropriate documents under fire-safe lock
  • Provide support to Enrolment Counselors with regards to weekly and monthly goals and contacts and prepare reports as it relates to database on a weekly basis
  • Prepare postal mass mailings and maintain e-mail communication plan
  • Maintain enrolment vehicle sign out schedule and interact with other staff calendars
  • Aid in preparations for Kingswood’s Summer Team Program
  • Provide assistance with maintaining organized storage areas
  • Set an example in expressing the spirit of Christ in attitude and in all that is done and said to other members of the staff, all students, and the public constituency
  • Demonstrate the highest level of devotion to Christ in the spiritual life on campus, personally contributing to the spiritual growth and development of students and staff by prayer, witness, worship, mentoring, personal walk of intimacy with God and chapel attendance
  • Assist in all other matters as needed or requested which pertain to the most effective operation and highest standard of excellence for the Enrolment Office

Formal Training & Experience:

  • Positive work references indicating performance of qualifications outlined below
  • Preference given to broad exposure to and knowledge of The Wesleyan Church
  • Preference given to those with broad exposure and knowledge of the local community
  • Previous experience in enrolment management or office administration preferred

Professional:

  • Professional verbal skills and overall standard of excellence in all aspects of secretarial work
  • Executive assistant level skills and experience including self-motivation, goal accomplishment, work prioritization, and creative problem resolution
  • Keen mind with ability to process multiple tasks simultaneously
  • High level of competency in research and reading comprehension
  • Basic knowledge of financial and accounting procedures
  • Competency and experience in computer skills including word-processing and spreadsheet
  • Handle information with accuracy and confidentially with appropriate respect for sensitive nature of personal and financial records
  • Work well and calmly under pressure, handling stress with equanimity
  • Present professional appearance and hygiene with mature sense of propriety and modesty
