Job Description

As a marketing and fundraising project manager you are meticulously organized and thrive working in a fast-paced environment and keeping multiple projects running smoothly, on time and free of as many complications as possible. You will effectively oversee the project from conception of an idea, all the way up to its execution and follow-up. While attention to detail is critical you have an ability to see the bigger picture and see opportunities for project integration. A critical thinker and problem solver, you offer advice and assistance in speeding up certain processes to aid in the timely completion of the project itself.

Project Management Responsibilities

  • Plan and manage projects on time, on budget and with agreed upon quality standards
  • Maintain project budgets and deliver the projects within the defined budgets
  • Continuously monitor progress and communicate in a tactful manner with key stakeholders regularly, to update and inform them on the status of active projects
  • Anticipate and catch deviations from a plan; take corrective action as necessary and keep key participants and stakeholders informed as necessary
  • Identify, log, analyse and manage potential and actual issues and risks, taking corrective action and being aware of how issues and risks impact scope, schedule, quality and cost

Project Team Management Responsibilities

  • For each project, identify the need for internal resources
  • Work directly with the project team members to estimate effort, plan activities and negotiate consensus on their appointed tasks
  • Manage and coordinate the agreements, invoicing and work done by freelancers
  • Create timelines and use appropriate tools to manage team and tasks and keep the team up-to-date
  • Bring the project to a close, creating an end of project report or evaluation document

Organizing Responsibilities

  • Create a structure for project management documentation and processes and ensure that the rest of the team understands and uses it, for examples developing Project Charters, Terms of Reference, RASCI charts, Project Tracking tools, Project Update Reports.
  • Look for and develop efficiencies wherever possible

Technical and Quality Responsibilities

  • Leverage technology to manage projects and documentation
  • Understand relevant project management methodologies, processes and standards and ensure that all project team members understand and also follow these
  • Own the project’s commitment to quality
  • Develop project management expertise to share and mentor

  • Post-secondary education in business, marketing, and/or project management or comparable experience
  • Impeccable organization skills, attention to detail, and 100% accuracy
  • Highly organized and energetic with a proven track record of meeting deadlines
  • Initiative and the drive to take a project by the horns and make sure it gets done
  • Ability to speak up and resolve issues when projects aren’t running smoothly or on time
  • Effective communicator with the ability to work with a variety of creative professionals
  • Flexible and adaptable for working on multiple projects of varying size at any given time in a fast-paced, deadline-driven environment
  • A track record of success managing large, complex projects for multiple clients or divisions, and comfort working under tight deadlines
  • Excellent listening, communication and negotiation abilities, and a high degree of diplomacy
  • Excellent problem-solving skills, personal ambition and drive
  • Advanced skills in Microsoft Excel, and project management software
  • 3+ years of experience managing marketing projects preferred
