Position Description

Administrative Assistant to the Executive Director


Pioneers Canada mobilizes teams to glorify God among unreached peoples by initiating church planting movements in partnership with local churches. 


Our office in Dorchester Ontario is currently seeking a proficient, conscientious, reliable, team player to fill the position of Administrative Assistant to the Executive Director. 


This position would be 20-30 hours per week.




Assist Executive Director (75%)

  • Maintain and manage Executive Director's appointments & calendar
  • Assist the Executive Director in his correspondences (ie. Letters, emails, phone calls, etc.)
  • Coordinate logistics and assist in preparing for speaking engagements and writing projects
  • Coordinate logistics for special events that the Excecutive Director is involved in or leading (i.e. Agency Leaders Meetings)
  • Organize and implement travel planning for the Executive Director
  • Take minutes during leadership meetings


Support the Pioneers Canada Board of Directors (10%)

  • Prepare for Board meetings, faciliatate Board interactions, and provide administrative support during and after Board meetings (weekends, twice annually)
  • Provide general administrative support for the Board


Support the Pioneers Canada staff (15%)

  • Share reception duties with the Assistant to the Executive Department (ie. Answering incoming calls, welcoming guests, keeping reception area clean, etc.)
  • Manage office master calendar
  • Coordinate and take minutes during meetings

Positional Qualifications

  • A heart for and understanding of missions, specifically ministry to the unreached
  • Administrative gifting (scheduling, creating travel arrangements, balancing multiple assignments at once, etc)
  • Ability to communicate well through the phone and written correspondence
  • Good interpersonal skills for interacting with public and staff
  • Proficient in computer programs such as Microsoft Word, Excel, PowerPoint, and Outlook
  • Willingness to learn new skills


Personal and Ministry Development

  • Maintain personal and professional growth, including spiritual life and ministry skill
  • Raise one own’s prayer support for ministry development
