Position Description

The Administrative Assistant is responsible for answering phones, taking appointments, coaching residents with assistance, supporting events and general administrative duties, data entry, banking, cleaning and daycare possible. May fill in for volunteer shifts as needed.
As a member of the team at Eagles Nest Association of Waterdown, you would work collaboratively with others on the team to advance the work, impact and enhance the presence and recognition in the community.

Program Development and Delivery
• Assists Program Manager in all of the programs and ensures the day to day activities are supported including assigned necessary volunteers to support, graduations, driving, etc.
• Assists program Manager with with intakes and implementation of the Individual Programs ensuring due diligence
• Assists and handles with resident meetings and house discipline under the recommendation of the Program Manager as needed.
Risk Management
• Ensures all Privacy requirements are met and the confidentiality of information is maintained in keeping with policies, procedures and all regulatory/legislated requirements
• Ensures all confidentiality documents are signed and managed for all areas associated with Programs
• Assists with managing the office at both Hope and Drummond House as needed with clerical support
• Ensures all phones and first line contacts are handled in an efficient and professional manner
• Works with the Operations Manager, ensuring the House operates effectively including the Health and Safety of all workers (staff and volunteers) and the security of the residents
• Organizes and updates office documents and storage of old documents
Community Relations
• Supports the activities and efforts of Eagles Nest to expand relationships with community partners.
• Profiles and promotes with community partners and interested groups/parties both the Programs offered through Eagles Nest and available volunteer opportunities.
• Develop Heat of Hope Stories

Qualifications, Experience & Education
• Currently in the post-secondary education track
• Social work Field, Social Service Worker Field, Counseling /Coaching experience
• Authentic lifestyle demonstrating consistent character, transparency and high integrity
• In full agreement with the Vision, Mission Statements, Values and Beliefs of Eagles Nest Association of Waterdown
• Experience in social work, counselling fields
• Knowledge of all regulatory requirements governing the work of Drummond House and H.O.P.E. Centre including human rights, workplace legislation, health and safety
• Willing to work flexible hours including evenings and weekends
• Adaptable: demonstrated willingness to be flexible, versatile and/or tolerant in a changing work environment while maintaining effectiveness and efficiency
• Strong communications skills, both verbal and written
• Up to date on computer skills – Excel, Word, Power point & data entry
