Details

Location – Markham, ON
Position Type – Full time (37.5 hours/week).
Reporting – This position reports to the Executive Director (ED).
Salary – Commensurate with qualifications and experience.

Objectives

Provide administrative support to the Executive Director and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the ED.

Support the fundraising responsibilities of the Development Director, Church Relations Director and Executive Director by communicating effectively with donors, churches, foundations and prospects, following up on leads, and helping to develop successful philanthropic partnerships.

Responsibilities

Fundraising - Communicate directly, and on behalf of the ED and his team with board members, donors, staff, and other stakeholders, follow up on meetings, and help to develop successful partnerships as part of fundraising plans, including:

  • Creating agreements, proposals, letters, etc. from templates, using information from meetings, and/or phone calls.
  • Preparing and sending all requested reports and materials before meetings.
  • Updating donor records in Raiser’s Edge (donor management software) with contact reports following meetings, phone calls, and emails with donors.

Executive Director Support - Complete a broad variety of administrative tasks including:

  • Maintaining meeting and travel calendars
  • Assembling and coordinating materials and reports for ED’s activities
  • Managing ED’s task list, monitoring meeting minutes and other communications for items to be added
  • Board meeting support and coordination
  • Completing expense reports

Other administrative tasks as necessary, including mailings, data entry, event coordination, etc.

Qualifications

  • Fully aligned with the Mission, Vision, and Core Values of Tearfund Canada.
  • Minimum 2 years’ successful experience supporting an executive in a non-profit (preferred) or sales environment.
  • Strong proficiency in Microsoft Office and/or G Suite (Google programs). Ability to merge documents and perform pivot tables an asset. Preference for digital communications, tracking, and tools preferred.
  • Demonstrated experience with schedule or project management and organizational systems.
  • Highly motivated with a positive attitude.
  • Gifted at prioritizing conflicting needs; handling matters expeditiously and proactively, following through on projects to successful completion, often with deadline pressures.
  • Demonstrated experience with Raiser’s Edge, customer management systems, or other database systems.
  • Professionalism, discretion, confidentiality.
  • Excellent verbal and written communication skills.
