Position Description

The Mustard Seed is a Christian humanitarian organization whose vision is to build community, grow hope and support change. Intentionally following Jesus Christ and partnering with the community, The Mustard Seed combats the root causes of poverty in Alberta and works to create positive, lasting change in the lives of those we serve. The Mustard Seed provides basic services - food, clothing and housing, and support services – education and employment, to those living in poverty within Alberta.

The Human Resource function is a centralized service and is responsible for human resources management. The Administrative Assistant - HR will support the Director of HR, and the HR and Payroll team in various capacities and will be responsible for administrative tasks relating to HR activities. This role handles highly confidential personal information and therefore requires an individual who can deal with this in the utmost professional manner.

• Provides administrative and documentation support in record keeping, the creation and maintenance of personnel files, archiving staff files and human resource materials
• Maintains regular updates on corporate organizational charts
• Monitors the HR, Training and Payroll mailboxes
• Update the annual performance review documentation on payworks and in employees’ files
• Supports recruitment related activities with posting vacancies on online job boards, proper allocation and sorting of applications and sending out questionnaires to prospective candidates
• Monitor job postings expiry date and post jobs on external job boards as requested
• Administers the background check process and ensure completion for all new hires, tracking completion as required
• Create folders for new hires, prepare new employee welcome packages, add 106 main floor staff email ID to photocopier
• Coordinate new hires user account/ key request
• Training administrative support (booking training and entering into training database)
• Assists with new HR projects and initiatives when requested
• Other duties as required

• High School diploma; post-secondary certificate/diploma with a human resources or business preferred; equivalent combinations of education and experience may be considered;
• Three years’ previous office experience;
• Well-developed planning and organizational skills;
• Ability to meet deadlines and manage competing priorities;
• Excellent verbal & written communication skills with an understanding of confidentiality and protocol is essential;
• A passion to be involved in ending homelessness in Alberta;
• Ability to work in a team environment and interact effectively with staff at all levels;
• Meticulous attention to detail, ability to prioritize and strong time management skills;
• Experience with MS Office applications and human resources information systems.

Physical effort: minimal
• This is a Temporary full time position located in downtown Calgary
• Office Setting, Extended Computer Use, Sitting, Reaching, Standing, Minimal Lifting, Walking
Mental effort: moderate, periods of high volume workload
• Employment Security Check is required
• As The Mustard Seed is a Christian ministry, we require our employees to be in agreement and to sign our statement of faith
• Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer
