Position Description

The Administrative Assistant’s duties and responsibilities will include providing administrative support to ensure efficient operation of the office. The Administrative Assistant will support the directors and employees of the New Life Girls’ Home through a variety of tasks related to organization and communication. They will be responsible for confidential and time sensitive material and must be familiar with a variety of office technology, practices and procedures. The assistant must have the ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. A significant role will be to assist in the work of the capital campaign. The Administrative Assistant will report to the Senior Director of Operations.

The Administrative Assistant will assist the Directors of the New Life Girls’ Home with the following
responsibilities:

  • Answer and direct phone calls
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Take accurate minutes of meetings
  • Reply to email, telephone or face to face enquiries
  • Prepare and distribute quarterly newsletters
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Assist in capital campaign work
  • Assist in event planning
  • Organize and schedule meetings and appointments
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Coordinate office procedures
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems
  • Receive, sort and distribute the mail
  • Manage staff appointments
  • Maintain up-to-date employee and volunteer records
  • Coordinate repairs to office equipment
  • Order office supplies
  • Ensure operation of office equipment by completing preventive maintenance requirements; calling for
  • repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies;
  • placing and expediting orders for supplies; verifying receipt of supplies
  • Maintain professional and technical knowledge by attending educational workshops; reviewing
  • professional publications; establishing personal networks; participating in professional societies
  • Maintain a welcoming reception area
  • Greet and assist visitors to the office
  • Prepare and monitor invoices
  • Submit and reconcile expense reports
  • Process donations
  • Prepare payroll
  • Prepare end of year tax receipts
  • Make weekly bank deposits
  • Co-ordinate volunteers for donor calls

Requirements:

  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office, Adobe Suite, Silent Partner
  • High school diploma or equivalent; college degree preferred

New Life Girls’ Home is seeking to hire a part time Administrative Assistant. New Life Girls’ Home is a registered not-for-profit Christian residential and outreach program in the Quinte West area. We provide a safe place for women ages 18 and over who are struggling with life controlling issues. The candidate must be proficient in administrative skills, verbal communications, attention to detail, discretion and judgement, and reporting skills. This individual will also maintain as well as generate donor care using Silent Partner. Event planning, quarterly newsletters and monthly emails are also required. The position will begin March 2019 with the intention of moving to full time.
