Position Description

  • Position: Part Time
  • Expected Work Week: 20 Hours
  • Location: NAMB Canada Head Office
  • Supervisor: Business Administrator
  • CNBC Membership Req’d: No
  • Office Hours: Exact hours to be determined with Supervisor. Working hours will be in office. Job cannot be done remotely.

Objective

The Administrative Assistant provides support with the day-to-day administrative, financial, candidate processing, and office maintenance tasks for NAMB Canada. This includes being in frequent contact with NAMB US and CNBC (Canadian National Baptist Convention) with respect to operational, funding, and financial matters.

Responsibilities

  • Financial Processing
    • Processing NAMB Canada bills (taxes, insurance, utilities, contractors, etc.)
    • Requesting volunteer/vendor payment (getting direct deposit forms, reimbursements, etc.)
    • Coordinate payments with 3rd party service providers
    • Budget tracking and communication to employees
    • Rebate applications (HST/property taxes)
    • Expense report approvals for all Canadian employees
    • Track online registrations/payments for training, assessments, etc.
  • Sending Church Support
    • Troubleshooting issues re: flow of funding to Canadian church planters
    • Communicate Canadian uniqueness to planters/candidates (insurance, importing, taxes, etc.)
  • Mission Properties Liaison
    • Assist local missionary/church to manage coming and going of occupants
    • Manage related finances (pay utilities/property taxes, receive/deposit cheques)
    • Manage/liaise with condo boards, insurance company, home warranty companies
  • Administrative Support
    • Arrange travel as required (book tickets, rentals, etc.)
    • Assist with NAMB Canada training events, In-office meetings, conferences, etc. and with other NAMB Canada initiatives
    • Other duties as assigned by Business Administrator
  • Office Maintenance
    • Oversee maintenance and cleaning
    • Stock supplies, oversee cleaning contractor, arrange for repairs
    • Order supplies, coordinate service, submit printer reads, etc.

Qualifications

The following qualifications are required:

  • Proficiency in English in both written and spoken form
  • Strong interpersonal skills and ability to work with others
  • Computer proficiency and specific knowledge of MS Office
  • Proven administrative skillset
  • Ability to multitask and prioritize daily workload
  • Agreement with Statement of Faith
  • Adherence to Lifestyle Policy and Code of Conduct

The following qualifications are preferred:

  • Proficiency in French
  • Experience in context of church mission ministry (especially related to church planting).
  • Past experience in a highly administrative role
