Position Overview

The City Administrative Assistant will assist and organize, maintain and improve communication and administrative systems of the ministry. The Administrative Assistant to the City Lead will also assist members of the City Team as needed.

Primary Objectives:

Support City Team

  • Fully engage on the staff team in strategic planning and decision making for the city
  • Provide administrative support to the City Team in order for the team to meet objectives and stay on course: data management, coordination of meetings, creating agendas, take minutes for all City Team meetings
  • Intentionally pray for your team regularly


  • Facilitate and provide timely and accurate communication to the City Team: documentation as needed; minutes, agendas, presentations, track ministry stats reports, etc
  • Respond to email and maintain City Administrative Assistant inbox in a timely manner
  • Establish routine meetings with City Leader to keep agendas moving toward meeting objectives
  • Oversee maintenance of City Google Shared Drive
  • Update “Local Volunteer Opportunities” page on CS website


  • Work with City Events Planner to coordinate the planning and execution of ministry events
  • Assist with various marketing materials as required 
  • Proactively anticipate, recognize, and resolve issues


  • Complete, review, and process city expense reimbursements in a timely manner
  • Submit Accounts Payable invoices to P2C’s Finance Department for payment
  • Order and purchase books, materials, and resources from various sources

Required Skills & Abilities:

  • A deep, growing, intimate relationship with Jesus Christ
  • A genuine desire to see people’s lives transformed by Jesus
  • Strong interpersonal skills
  • Excellent written and verbal communication skills
  • Proficient in Google Suite or equivalent
  • Administrative skills, personally organized, good steward of time
  • Self-motivated, team builder, able to work independently
  • Strong skills in problem-solving, asking questions, investigating, research


Education and Experience:

  • Previous administrative or related experience is an asset

This is a salaried position which may include benefits coverage, depending on the number of hours worked.


Where the candidate is able to be financially independent, they may volunteer for this position with the expectation that they will serve as Affiliate or Associate staff (minimum 10 hours).
