Position Description

Harvest Bible Chapel is a gospel-centred church located in Barrie, Ontario. We have a growing and passionate church family of more than a thousand people. The successful applicant will join our staff of 14 gifted team members who love Jesus and are on mission for him. Harvest exists to glorify God by making more and better followers of Christ. As we work on that, we are seeking, as best we can, to love God and love people. Less than an hour’s drive north of Toronto, Barrie is a fast-growing, waterfront community on beautiful Lake Simcoe.

Hours: Full-time Position
Compensation: As negotiated

Support staff members enable the rest of the staff team to function primarily within the scope of their spiritual giftedness and personality. Thus, administrative, detail-oriented people support vision-casting, big-picture people to enable our overall goals as a church to be reached. The Office & ERM Administrator will be strongly committed to laying the groundwork for successful ministry by anticipating and meeting the practical needs of the staff. He/she will wholeheartedly support the mission, vision, doctrine, pillars, and ministry strategy of Harvest Bible Chapel Barrie as established by the elders and executed by the staff team.


Office Administration Duties

  • Basic reception (answer phones/door/emails, welcome guests, direct calls and mail appropriately, water office plants, stock and tidy kitchen area, order/organize and maintain supplies for the office, specifically the copier area)
  • Maintain all office equipment and relative contracts
  • Record Monday statistics and prayer requests
  • Manage a company credit card and keep organized expense records
  • Develop and manage an annual budget
  • Coordinate facility rentals
  • Manage and reconcile office petty cash
  • Assist Finance Director by preparing various monthly staff credit card statement reconciliations
  • Fulfill required training to act as on-staff Health & Safety officer and carry out responsibilities assigned to this designation
  • Manage guest speaker details
  • Book travel for pastors and directors
  • Coordinate details for conference attendance
  • Organize and manage archives
  • Supervise and direct summer administration interns
  • Arrange catering and any other meeting preparations required for elder and staff meetings
  • Manage staff birthday recognition
  • Order poppies and gift cards for Remembrance Day services
  • Decorate office for Christmas
  • Other duties as assigned

Electronic Records Management Duties

  • Update and maintain church database (Planning Center Online)
  • Manage Mailchimp
  • Manage Planning Center and website calendar requests
  • Assist staff with Planning Center registrations
  • Assist the Worship Pastor/Director by preparing the lyric slides in Pro Presenter each week
  • Report any songs used to CCLI
  • Update Spotify playlists
  • Assist the Worship Pastor/Director with Planning Center Services tasks
  • Input worship related events into calendar during ministry year
  • Manage in-person service registrations each week; assist Connections Pastor with registration on weekends as needed
  • Other duties as assigned

Ministry Assistance

  • Organize communion events
  • Direct prayer requests to staff as needed
  • Create and post signage on church building related to service cancellations due to inclement weather or other reasons
  • Coordinate baptism events
  • Assist Worship Pastor/Director with the development of the annual budget
  • Coordinate catering for worship and production teams during events/services as requested
  • Occasional weekend hours will be required to execute specialized projects
  • Other duties as assigned

Other Responsibilities

  • Daily time with God exercising spiritual disciplines such as Scripture reading, prayer, worship, etc.
  • Develop ongoing accountability relationship(s) in areas such as personal purity, financial stewardship, spiritual disciplines, etc.
  • Prioritize and nurture a healthy relationship with your spouse, if applicable
  • Participate fully in various staff meetings/expectations
  • Adopt the posture of a lifelong learner, continually growing in skills and knowledge in areas covered by this ministry description
  • Other responsibilities as assigned



  • Must be maturing spiritually (Colossians 2:6-7) consistent with the 4 pillars and 3 W’s.
  • Must be increasing in the fruit of the Spirit (Galatians 5:22-23).
  • Must demonstrate a servant’s heart (Mark 10:42-45) and be teachable and humble (Philippians 2:3-7).

  • Must be committed to ongoing improvement, with an understanding of both strengths and weaknesses.
  • Must have exceptionally strong organizational skills and relational abilities.
  • Must be able to multi-task and complete projects amidst interruptions.

  • Must be a life-long learner; formal training an asset but not required.


  • Must be committed to the local church and active in building community (Acts 2:42-47).
  • Must be a team player with an understanding of this role within the overall ministry of Harvest Barrie.
  • Must demonstrate an ability to relate well and work efficiently with fellow staff members and volunteers.


  • Must be in full agreement with the Harvest mission, doctrine, pillars, and approach to ministry and be convinced of their effectiveness in building the church.
  • Must be aligned with Harvest affiliations and partnerships.
  • Must agree to abide by the staff policy manual.


  • Must be highly self-motivated and action oriented with a strong work ethic; a get-it-done kind of person.
  • Must be able to fulfill the responsibilities of the job and also maintain a healthy personal and family life.
