Job Description

The Central Canadian District of the Christian and Missionary Alliance is seeking two student candidates to join the District Ministry Centre team in the positions of Administration Assistant. These positions are responsible for providing administrative assistance to the various offices of the Central District which supports churches, ministries and leaders in within the Christian & Missionary Alliance, Canada.

Duties will include, but are not limited to:

  • Ensure that all aspects of work are completed in accordance with the principles, standards and policies and procedures of the Central District of the Christian & Missionary Alliance, Canada.
  • Perform general office duties: answer/screen telephone calls, direct/answer inquiries, file documents electronically or manually, photocopy/distribute materials, send/receive fax/email material.
  • Liaise with the Directors and Administrators of various departments
  • Maintain databases, including Sumac, Planning Centre and Church Centre
  • Maintain confidential physical files for District workers
  • Process incoming and outgoing mail, which may be of confidential nature
  • Maintain stationery supplies and adequate inventory of office and other supplies.
  • Assist with planning meetings and annual events
  • Administrative support and general office duties
  • Responding to general inquiries
  • Some research and report writing may also be required
  • Other administrative duties as needed

Required Qualifications/Skills/Experience:

Required Skills/Experience

  • Excellent organizational and time management skills required to perform administrative duties.
  • Outstanding communication skills in order to liaise with various department heads and represent the organization in a professional and engaging manner.
  • Excellent presentation skills to deliver information to various stakeholders.
  • Able to learn new tasks and work within a small organization effectively.
  • Demonstrated research and written skills for report writing and communicating with various stakeholders via email.
  • Proficient with data collection and analysis of information.
  • Ability to use tact and diplomacy when assisting in reception and engagement with workers and churches both in person and over the phone.
  • Demonstrated ability to effectively prioritize and meet deadlines.
  • Experience with organization of events and meetings.
  • Able to work independently and as part of a team.
  • Self-motivated and disciplined self-starter.
  • Participate as an active and responsible team member.
  • Excellent listening and interpersonal skills, integrity, and adaptability.
  • Ability to maintain information in confidence and exercise good judgment.
  • Fluency in English language (both written and verbal) Assets:
  • Experience working with not for profit, churches and or charities.
  • Fluency (both written & verbal) in French, Spanish, Vietnamese and or Chinese
  • Valid driver’s license and access to a personal vehicle
  • Applicants currently enrolled in public relations, project management, event management, business administration, or marketing program

Comments:

The successful candidate must meet the following criteria:

  1. Currently enrolled as a student with an accredited School, College or University, and or registered for the Fall 2022 school year.
  2. Be available 30 hours per week from June through August, 2022
  3. Between the ages of 16 and 35, to qualify within the Canadian Student Jobs program.
  4. Be fully vaccinated for Covid-19 and able to show certification, as office is located in a long-term healthcare facility.
