Key Responsibilities:

The Children’s Ministry Admin will work 40 hours per week in support of the Children’s Department, including but not limited to:

  • PTP coordination – respond to questions, manage PTP workflows, submit back checks, schedule interviews, complete reference checks, keep nametags up to date, oversee PTP documents filing & document retention, maintain PTP compliance of all volunteers, scheduling of training & refreshers including set up of materials & ordering of food.
  • Implementation of ‘new family’ workflows and follow up processes (new baby, baby dedication nursery, Sundays, Fridays, new attenders, new volunteers and Special events).
  • Coordination & scheduling of volunteers (for all kids ministry areas and events) and the subsequent room booking & set up requests needed on Planning Centre Online (PCO).
  • Strategically formatting, copying and preparing of weekly curriculum to make it available to volunteers to work on, 2 months in advance.
  • Maintain current kids ministry information on church website and in our promotion pieces.
  • Prepare monthly reports re. attendance patterns and budgeting updates for departments within CM as requested to assist us with projecting numbers/costs for events.
  • Other administrative duties as assigned, including special projects and church initiatives.

Knowledge and Abilities Required:

The incumbent must possess the following qualifications:

  • Experience in the use of Microsoft Word, PowerPoint, Excel, and Outlook, including database management, along with basic accounting knowledge.
  • Proficient in time-management, organization of resources and effort, able to multi-task.
  • Excellent organizational and communication skills (written and verbal) with the ability to effectively present information and respond to questions from staff or congregation.
  • Strong interpersonal skills with the ability to relate to people of many different ages and of diverse backgrounds.
  • Able to work on own initiative with minimal intervention.
  • Ability to understanding our kids ministry vision and to support our volunteers in fulfilling it.
