Job Description
Objectives of the position: To reach out to clients in an unplanned pregnancy with the mercy and compassion of Jesus Christ by offering practical assistance in both word and action. The Executive Assistant is responsible for assisting the Executive Director in performing administrative duties related directly to the operations of the pregnancy centre. Major duties involve ensuring efficient office procedures, including donation and record keeping and computer operations.
Reports to: The Executive Director
Supervises: In conjunction with the Executive Director, assist in overseeing the non-counselling volunteers.
Qualifications:
- Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Saviour and Lord
- Exhibit strong commitment and dedication to the pro-life position and sexual purity
- Agree with and be willing to uphold the Statement of Principles, Statement of Faith and policies of the centre
- Be familiar with scripture pertaining to the sanctity of life, forgiveness, and salvation
- Have experience in office operations and general management of running an office
- Have experience with general accounting procedures and basic computer operations
- Exhibit excellent organizational skills and typing ability
- Be self-motivated, dependable, and responsible
Essential Functions:
Administrative/Office Management
- Receive all calls and emails, reply in a timely manner and forward messages to the appropriate person
- Assist in scheduling volunteers and delegating jobs based on the person’s skills
- See that all correspondence (newsletters, schedules, forms, letters) is gathered, typed, copied, and mailed on a timely basis
- Oversee inventory control of office supplies
- Keep the office organized and clean
- Update all forms, files, and manuals as advised by the Ex. Director
- Assist the Ex. Director with performing office administrative duties, as requested
- Assist with organizing fundraisers
Financials
- Complete bookkeeper tasks and collaborate with treasurer on finances.
- Complete weekly accounting procedures including processing donations, entry of donations into computer and deposits
- Generate financial reports and donor information reports for the Ex. Director
- Generate tax receipts for donors
Computer Operations
- Update general mailing list and produce mailing labels, as needed
- Coordinate the gathering and stuffing of materials for bulk mailings, with volunteers
- Assist Ex. Director with jobs as needed
- Produce promotional materials (posters, brochures, business cards) as needed
- Keep accurate Statistics of Client information and produce reports when needed
- Implementation of data entry of annual fundraising events
Client Related– Full Training Provided
- Meet with Clients when needed
- Be able to offer spiritual coaching as well as being comfortable praying with clients on the phone or in person
- Look for teachable moments with a client in order to share the love of Jesus and His plan of salvation
- Assist with maintaining the care closet by keeping it neat and tidy
