Position Description
SUMMARY

The Executive Assistant will provide direct support to the Executive Leadership team to help support and enable the vision and mission of Redwood Park Church (RPC). Key responsibilities include organizing calendars, event planning, taking minutes, and other administrative, behind-the-scenes tasks. The Executive Assistant will work closely with the Lead Pastor, Executive Pastor, and Spiritual Formation Pastor, and collaborate with the staff team and Board.

RESPONSIBILITIES
Assist the Lead Pastor (25%).
- Organize calendars, meetings and other administrative details to make room for more ministry.
- Provide logistical and administrative oversight for executive-led events (i.e. AGM, Staff Retreat, etc.).
- Book flights and other logistical details for travel and retreats.
Assist the Executive Pastor (25%).
- Develop and disseminate meeting agendas and take minutes in key meetings.
- Be the main point of contact and ‘project manager’ for all external rentals.
- Provide support for EFT processing, receipt submission, year end tax receipt processing, and communication with the bookkeepers.
Assist the Pastor of Spiritual Formation (25%).
- Create and maintain Spiritual Formation online registrations.
- Assist with print materials/presentations for courses and purchasing books.
- Administration and hospitality planning and support for courses/events.
Provide Operations support as part of the Min Ops team (25%).
- Maintain and execute facility maintenance planning and upkeep.
- Organize and maintain physical and digital file storage/data management.
- Prepare meeting spaces, including refreshments as needed, for staff and Board meetings as well as staff-wide gatherings.
- Create slide decks, memos, and other document templates for staff to populate.
- Close the building Monday through Thursday.
QUALIFICATIONS
- Relevant education and/or work experience performing confidential or administrative duties and supporting executive leaders. A bachelors degree is preferred.
- Excellent organizational skills and ability prioritize tasks within a multi-departmental environment.
- Ability to work with minimal direction and employ excellent judgment and professionalism at all times.
- Excellent interpersonal, oral and written communication skills.
- Strong computer and technological skills - proficiency in Google Workspace, QuickBooks, Humi, Planning Center, Subsplash all considered assets.
- Experience in editing and formatting reports.
- Experience in planning and organizing events.
