Position Description
Salary/Wage: $65,000-$75,000/year
Status: Full time 40 hr/week
Department: Business Office

Responsibilities:
The Business Office Administrator is responsible for Receivables, Payables, Bank Deposits, and Payroll and provides support to the Chief Financial Officer.
Functions
- Generate invoices for student tuition & fees, student rent, guest housing, facility bookings and miscellaneous charges
- Communicate and follow up with students for payment of their tuition fees and rent in a timely manner
- Collect tuition fees and post them into student accounts in Sonis/QuickBooks
- Administer and process student aid and scholarship transactions
- Record all transactions and ensure information is up to date and accurate
- Investigate and report on any irregularities or delinquent student accounts to the Chief Financial Officer
- Maintain efficient filing system of student files
- Produce T2202A Tuition Receipts and T4A Scholarship Receipts annually
- Receive, review and verify vendor invoices
- Sort, verify GL code and clarify any unusual or questionable invoices
- Enter and upload vendor invoices into QuickBooks
- Prepare and perform check runs
- Prepare and process electronic transfer and payments
- Ensure all vendor invoices are processed in timely manner
- Maintain vendor files
- Maintain confidentiality and security of all financial information
- Prepare bank deposits for all funds received by CBTSC
- Take deposits to ATB Financial
- Run direct debit transactions through on-line banking
- Ensure all deposits are entered in QuickBooks in a timely manner
- Responsible for all aspects of payroll
Other:
- Assist with month-end accounting procedures
- Participate as a member of the scholarship committee
- Carry out other tasks as assigned by supervisor
RequirementsÂ
- Strong interpersonal and customer service skills
- Strong analytical and problem-solving skills
- Strong team player with the ability to work independently
- Effective organizational skills and multitasking abilities
- Excellent oral and written communications skills
- Must be detailed oriented and able to plan/prioritize tasks and projects
- Strong spreadsheet skills
- Must has demonstrated success in mastering new info technology systems and applications
- Must have experience with accounting cycle processes
- Able to assess problems to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem
- Preferably be experienced working in a financial office of a moderately sized education institute or non-profit organization
- Preferably have payment systems experience
- Preferably have experience using QuickBooks desktop and QuickBooks online
- Preferably educated in business management or accounting
- Preferably payroll compliance certified with the NPI
