Position Description
The Administrative Assistant position is a part-time position characterized by three main duties: coordination, communication, and oversight. You will work closely with the pastoral staff to plan and operate church life and ministry at New Hope Fellowship Mississauga. Duties include scheduling, coordinating serving members, sending email communications, creating and sending forms, drafting announcements, record-keeping, updating public platforms, and other admin-related duties. At times, you will act as a liaison between different ministries, within New Hope Mississauga, across New Hope campuses, between ministries within the larger body of Light Presbyterian Church, and between the church and the public.
Qualifications
- A committed follower of Jesus Christ.
- Able to work with a team and under leadership.
- Emotionally mature and have a deep love for the church and desire to serve long-term. (The position will potentially require longer hours).
- Organized and meticulous.
- Articulate and able to communicate with clarity in writing and in speech.
- Creative, passionate, teachable and humble.
- Working knowledge of Google Workspace and Microsoft Office.
- Fluency (or willingness to learn) basic website design using Squarespace and graphic design using Canva.
Duties & Responsibilities (may include but are not limited to)
- Work closely and primarily with the pastoral team of New Hope Fellowship Mississauga campus to support administrative tasks.
- Communication liaison between pastoral staff, elders, deacons, ministry team leaders, congregation members, other campus leaders and/or other LPC ministry leaders.
- Oversee, delegate and coordinate operations of Sunday Service, prayer gatherings and other church services and events with other pastors and ministry leaders.
- Create and communicate weekly announcements through e-newsletters, digital bulletins and Sunday announcement slides.
- Prepare, collect and/or review weekly service materials, including printing cue sheets, bulletins, pre-registration, videos, and PowerPoint.
- Attend twice-weekly staff meetings, collate the agenda and record minutes.
- Create and update task and event tracking systems, such as the weekly agenda, the yearly schedule, and the pastoral team calendar.
- Create Google Forms to collect information, registrations and feedback.
- Purchase supplies related to office needs, baptisms, and special services (flowers and certificates, etc.).
- Coordinate and assist in cross-campus and cross-ministry matters, including communications, event planning, venue booking, print materials, etc.
- Manage and update the church website weekly in collaboration with the tri-campus website committee.
- Manage the Mississauga Campus YouTube page and podcast.
- Maintain and update the church membership database.
- Respond to general inquiries both within and outside of New Hope Fellowship, redirecting requests to the appropriate person(s).
- Design church-related materials like sermon graphics, announcement graphics, discipleship class booklets, and forms.
Other Details
- Start as soon as possible.
- Working hours per week to be confirmed depending on the candidate’s qualifications, 20-25 hours estimated.
- Compensation TBD.
- Contract renewed annually.
