Position Description

Kerr Street Mission (KSM) is a Christian charity dedicated to helping the community of Oakville care for low-income and at-risk families and youth, by coming alongside families in distress and helping them get to a healthier, more sustainable situation and by developing youth so they don’t end up in poverty.

KSM provides a place where people can gather and find help. It brings people together to serve and be served, facilitates the communities’ response to the needs of families and individuals in distress, and creates opportunity for God’s love and compassion to be shared in practical and tangible ways.

Position Summary:

The Food Services Program Support will be an integral part of the KSM Food Services team, playing a crucial role in our mission to serve the community. The individual will ensure service excellence to the community through managing the co-op program, maintaining relations with volunteers and clients, supporting daily program operations, inventory control, assisting with market duties and other projects.

The individual in this role must ensure that all clients, volunteers, and staff are treated with the utmost respect, compassion, and dignity.   • Contract: 6 Month Term
  • Hours: Full Time (37.5)
  • Wage: $21.00 / Hr

Primary Areas of Responsibility

Inventory Management:

  • Work closely with the Process and Administrative Coordinator to ensure all inventory is ordered through Feed Halton or fulfilled by procurement.
  • Conduct audits to ensure inventory accuracy and report any discrepancies
  • Work alongside the Inventory Coordinator and Food Services Manager to maintain open and regular communication with Feed Halton to align on inventory needs and deliveries.
  • Receive fresh produce via the Sowing Hope program and other related initiatives to build relationships with local farmers, supplies, and community partners.
  • Receive donations from corporate and individual donors with a positive attitude, working alongside the fundraising department to track donation weights and donor names to ensure accurate donation tracking.

Program Volunteer Management:

  • Work with the Volunteer Department closely to onboard, train, and communicate with the volunteers within the Food Services Program.
  • Maintain regular communication with volunteers and provide updates, feedback, and support.
  • Collaborate with the volunteer department to step in and fill any volunteer vacancies as they arise, ensuring no disruption in services and activities.
  • Work alongside the Food Services Manager to develop a plan for and help coordinate corporate volunteer groups.

Market Operation:

  • Create a welcoming, accessible, and inclusive space for clients to come and shop for their family’s food needs.
  • Work alongside the Food Services Manager to regularly analyze market operations making sure markets are operating in an optimal manner. Work with the Food Services Manager to adjust protocols if needed.
  • Ensure the proper functioning of market processes, updating volunteers and clients on any process adjustments
  • Assist the inventory coordinator in ensuring the market is well-stocked, clean, and organized.
  • Support volunteers and ensure they engage with clients and one another in a Compassionate, Attentive, Respectful, Equitable, and Sincere (KSM CARES) manner.

Community Delivery and Online Order Lead:

  • Oversee the community delivery and process from start to finish, ensuring that clients receive a best-in-class experience regardless of whether they are physically at KSM.
  • Manage volunteers in communicating with all clients to make connections, confirm their food preferences, and accurately enter all data on the delivery trackers.
  • Develop and update all Warehouse and Logistics support documents so volunteers can execute and fulfill the community delivery orders.
  • Resolve any issues that arise with volunteers or clients as needed.
  • Assist the process and administrative coordinator with managing volunteers for the online ordering system.

Co-Op Program Lead:

  • Work closely with the Youth Program Manager and Volunteer Coordinator, who is responsible for promoting and managing the co-op program by connecting with local schools.
  • Oversee the recruitment, onboarding, and training of co-op students.
  • Conduct weekly check-ins with co-op students to provide guidance, support and feedback.
  • Ensure co-op students are effectively integrated into program operations and other tasks.

  • Computer proficiency with MS Office programs is an asset
  • Experience working with inventory management systems is an asset
  • First Aid Certification and a valid G license is an asset
