Position Description
Position Summary
The Administrator plays a critical role in managing HQ administrative infrastructure and support. This position ensures smooth functioning across office management, HR onboarding, tech systems, sales fulfillment, and donor data maintenance—freeing the broader team to focus on mission delivery and growth.
Key Responsibilities
1. Administration & Office Support
- Manage HQ phone and email communications
- Maintain office equipment and oversee daily operations
- Ensure tidiness, cleanliness, and organizational systems at HQ
- Maintain vendor relationships and manage supply orders
- Act as the primary point of contact for operational troubleshooting
- Organize and maintain document storage and filing systems
- · Coordinate soup testing, retreats, mailings, and special event logistics
- · Support internships and volunteer onboarding
- · Collect organizational data, conduct research, and create online surveys
- · Assist in setting up automated systems to support long-term growth
2. Technology, Software & Donor Management
- Administer Office 365 accounts (emails, SharePoint, security, permissions)
- Troubleshoot and coordinate support for services like WordPress, Shopify, and web hosting
- Maintain donor records in Bloomerang (including tax receipts and acknowledgments)
- Track contributions and provide support for donor and partner relations
3. HQ Sales Support
- Coordinate and fulfill supply orders from Raw Carrot sites
- Manage product sales for Church Champions and partner programs
- Track inventory using Square, maintaining accurate freezer and supply room stock
- Source and replenish supplies for HQ and site operations
4. HR & Finance Support
- Assist with onboarding new staff and volunteers, including IT setup (emails, devices, SharePoint access)
- Post job and volunteer opportunities using the master job board system
- Manage benefits setup and records maintenance
- Support staff expense processing and tracking
QUALIFICATIONS
- Proficiency in Microsoft Office 365 and basic tech troubleshooting
- Excellent organizational and multitasking skills
- Strong attention to detail
- Experience in administration or office management an asset
WORKING CONDITIONS
- Part-time 15 hours/week, 2-3 days/week, flexible on which days.
- Location: On-Site, HQ in Paris
- 6-month contract with possibility for extension.
- Occasional travel or offsite support may be required.

SALARY
$21/hour
