Position Description

Location: Working at the office at 10 Carnforth Road, North York up to three days per week and remotely two days.

Are you interested in joining our team in this exciting and re-energized adventure providing people with access to God’s Word?  The Canadian Bible Society (CBS) is looking for a dedicated Donor Relations Representative who will work to ensure that CBS supporter accounts are updated, accurate and will respond to and resolve potential donor inquiries and concerns.

Key Responsibilities:

Work within an integrated Development, Marketing & Communications team involving staff and volunteers and other partners to fulfil objectives plans and objectives related to:

Donor Communications Including Problem Investigation & Resolution

  • Support and strengthen relationships with donors through timely, personalized, and meaningful communication.
  • Demonstrate strong written communication skills, with the ability to review and edit donor acknowledgement letters as needed to ensure clarity, accuracy, and appropriate tone.
  • Stewarding donors by responding to incoming calls and requests, including some limited after-hours messages, from donors and potential donors and conducting required investigation and follow-up.
  • Making outbound calls to investigate and resolve donor issues (e.g., missing / incorrect donor or donation information, expiring credit cards, declined donations, etc.).
  • Acknowledging tribute donations (in honour or in memory), ensuring accurate recipient information and timely notification letters or cards. Ensuring necessary follow-up with letters, database changes and any necessary process changes with relevant staff;
  • Preparing daily acknowledgment letters, receipts and performing welcome calls;
  • Respond to donor requests as appropriate, ensuring donor accounts are updated accurately and promptly in the database. Administration of legacies including verification of legacy documents and other related correspondence.
  • Monitor inbound call centre activity and agency performance to ensure alignment with organizational standards.
  • Conduct regular review meetings with agency representatives to address issues, share insights and recommend improvements.

Donation Processing

  • Acting as back-up for assigned donations and receipt processing including updating in Raiser’s Edge (RE) database. Additional department administration during peak season and during staff absences.

Support External Donor Acquisition Contractors

  • Provide information and support required for external donor acquisition agencies and service providers.

Requirements:

  • Five (5) or more years of demonstrated successful donor relations experience, preferably in a non-profit, Ministry and multiple-office context;
  • College or university certificate or degree in fundraising, business management or a related discipline preferred;
  • Intermediate Word and Excel skills with high attention to detail and accuracy;
  • Ability to prioritize and work well with deadlines;
  • Effective communicator and problem solver (written and verbal) with sensitivity to, and appreciation of bilingualism and diversity;
  • A dependable team player with a positive attitude and willingness to support colleagues as needed. Self-confident while still being humble and authentic;
  • Self-motivated, self-starter, proactive and determined;
  • Resilience, ability to not let adverse conditions negatively impact leadership and performance;
  • Promotes culture of integrity, values driven;
  • Decisive and demonstrates good judgment;
  • Openness to feedback, willingness to learn and a commitment to help others learn and grow;
  • Exceptional communication skills in English – Bilingual would be an advantage;
  • Maintains a high-level of confidentiality;
  • Live within reasonable commuting distance of the North York office.
