Position Description

The Executive Assistant provides executive support to the President and Vice-Chancellor and the Board of Governors to ensure the efficient management and operations.

Primary Responsibilities

Administrative Support

  • Manage the President’s time efficiently, coordinating schedule, meetings and travel arrangements.
  • Ensure the President is informed on key issues to assist with decision-making.
  • Maintain efficient functioning of the Office of the President.
  • Serve as the primary liaison with the Board of Governors and significant stakeholders related to the governance of the institution.
  • Maintain and ensure security of corporate records/files.
  • Provide administrative support for committees/meetings chaired by the President (i.e. prepare schedules and agendas, record minutes, prepare and review supporting documentation, coordinate meeting details, follow through on action items and communications).
  • Support the Board of Governors and its committees, councils and task forces and other subset entities reporting to the Board, by providing administrative support, including planning meetings, guiding tasks to completion, coordinating and administering various elections according to appropriate Bylaws, maintaining and distributing Bylaws and Board policies and issuing the Board of Governors Handbook.
  • Prepare, administer and monitor the Office of the President and the Board of Governors budgets; submit expense reports.
  • Work with Cabinet, Governors, and major donors building relationships and facilitating meetings.


  • Draft correspondence, briefs, proposals on behalf of the President.
  • Review and edit all material going out under the President’s signature and corporate material such as correspondence, brochures, media releases and annual reports.
  • Monitor and respond to incoming messages, i.e., mail (electronic and other), phone, etc.
  • Ensure timely and appropriate communication of directives from the President, advise on matters to be communicated to various stakeholders.
  • Liaise with students, faculty, staff, senior management, Board members, donors, churches/para-church agencies, other universities/colleges and accrediting bodies, government (federal, provincial, municipal), legal counsel, consultants, and the general public.

Special Events and Projects

  • Plan and manage specific special events such as the installation of Chancellors and Deans, and other significant institutional events, as required.
  • Plan and manage (including logistics) events in the Office of the President, acting as primary contact for all such events unless determined otherwise.
  • In consultation with internal stakeholders, develop and coordinate efficient platforms and agreement terms for the benefit of developing greater partnerships with Tyndale (e.g., churches/para-churches, community agencies and other collaborators) to better advance Tyndale’s objectives.
  • Attend and support the President at Tyndale-related functions and other events, as required.

Position Qualifications


  • Undergraduate degree preferred


  • Minimum of 7 years’ experience in administration, 2 years of which have been supporting a senior level leader
  • Familiarity with Canadian churches, denominations and Christian community, preferred
  • Familiarity with the Ontario post-secondary education system and theological education, preferred
  • Work experience in an academic setting, preferred

  • Strong inter-personal and customer service skills with the ability to be a persuasive, professional advocate for the organization and the President
  • Strong organizational and administrative skills, with attention to detail and accuracy
  • Ability to multi-task, prioritize, and work efficiently in a fast-paced environment
  • Ability to grasp macro issues, while dealing with micro matters
  • Ability to exercise sound judgment, decision-making, and exercise initiative to achieve desired outcomes
  • Proficiency with prioritizing projects and workflow management
  • Excellent communication and problem-solving skills
  • Demonstrated capacity to navigate and manage complexity of tasks, context, and relationships, to accomplish goals and objectives
  • Excellent minute-taking, writing, and editing skills
  • Proficiency in use of internet/search engines, computer programs/applications (i.e. Microsoft Word, Excel, PowerPoint)

  • Flexibility in work schedule required as special events may be scheduled outside regular business hours
