Position Description

General responsibilities will include ordering supplies, accounting duties for a Christian non-profit organization including processing donations and receipts, payroll for office staff and overseas missionaries, preparing financial statements and all necessary government reports and caring for all other financial matters, taking phone calls and performing general every day tasks necessary for the efficient running of the national office.

Specific Duties

Financial Management

  • Issuing cheques on a regular basis for payment of due obligations
  • Caring for group insurance
  • Print and send out receipts (monthly and yearly)
  • Prepare monthly financial statements
  • Prepare and send out monthly donor reports to missionaries
  • Prepare and submit claims for GST refunds (twice each year)
  • Reconcile monthly bank statements
  • Ensures that bank deposits are made on a weekly basis
  • RRSP/TFSA changes and additions
  • Transfer donations received in Canadian funds to CEF International by email/wire transfers
  • Process VISA and MasterCard donations
  • Email payroll deposit confirmation to missionaries
  • Data entry for incoming donations in Basic Funder, Quick Books and Access
  • Payroll to Canadian Government—EI and CPP
  • Prepare all records for yearly audit
  • Meet with auditor to determine the auditor’s requirement for the preparation of the audit
  • Supply information to supporting churches as requested

Reception and Communication Environment

  • Handling incoming telephone calls
  • Monitor office supplies and stamps and order as needed
  • Create and maintain an efficient filing system for all administrative and financial documents
  • Maintain the effective operation and upkeep of office equipment
  • Work cooperatively with other staff to meet special needs as they arise
  • Printing labels for missionaries and national office
  • Address corrections and changes
  • Send out forms to missionaries at beginning of year
  • Mails out birthday cards to CEF staff and national board members
  • Supervise volunteers
  • Maintain the procedure manual and keep up to date
  • Carry out other duties as needed

Qualifications

  • Accounting knowledge—knowledge of Quick Books and Excel, MS Access, Microsoft 365
  • Be able to sign Statement of Faith and Lifestyle Agreement and Doctrinal Protection Policy
