Reports to: Worship Ministry Lead

Job Summary

As the Event and Follow Up Coordinator, the individual will oversee all guest services, provide a welcoming environment and an effective assimilation and integration strategy to ensure guests find a place to belong and become part of our church family.  They will contribute significant leadership to the Sunday morning experience by training and supporting the Host Team at Grant Memorial Church. The Event and Follow Up Coordinator will also provide oversight to various church-wide events and maintain various forms of administrative support to the Worship Ministry Lead.

Time Requirements

This position is a part time equivalent position equal to 25 hours per week.  For this role, Sunday is considered a partial work day.

Key Responsibility Areas

Sunday Morning Experience:

  • Lead the ongoing development of the Sunday morning in-person experience
  • Design all aspects outside of the Sunday programming, from the moment our in-person congregation arrives on our property to when they depart
  • Serve as Host Manager for Host Teams on Sunday mornings and at special events including Easter, Christmas, and other services
  • Train, Shepherd and encourage the leaders and members of our Host Teams.
  • Ensure host team members have access to information required for Sunday mornings
  • Manage the schedules for volunteer teams (host, campus, coffee, welcome centre)


  • Coordinate all aspects of our guest/visitor follow-up from first point of contact to assimilation and integration
  • Communicating with other ministries when individuals identify an area they may be interested in serving and/or participating in including connecting in small group communities
  • Update the membership database with guest information and follow-up results
  • Organize/coordinate volunteers to assist in follow-up initiatives
  • Consider & Design intentional follow-up programs, such as a Welcome Lunch or some type of equivalent

Event Coordination:

  • Assist in developing church-wide events, and maintaining, organizing and managing existing events from concept to completion, ensuring they operate smoothly, and efficiently
  • Pro-actively liaise with various ministry departments in order to utilize organizational resources appropriately
  • Source and oversee all event volunteers. Provide proper volunteer orientation, training and follow-up
  • Create and maintain an effective event evaluation feedback loop

  • Mature in faith walk, demonstrating sensitivity in all contacts with church members, volunteers, staff, and others
  • A team player who is enthused about working with people
  • Preferred - Certificate in Volunteer Resource Management, or willingness to attain one
  • Able to work irregular hours occasionally
  • An awareness and understanding of the general principles of voluntarism and the current trends and issues
  • Knowledge of the local volunteer community
  • Knowledge and skills of human resource management, which includes interviewing, screening, orientation, and training
  • Demonstrated leadership abilities
  • Self-motivator who can plan and organize independently
  • Ability to work well with a variety of people in various settings and group sizes
  • Ability to present workshops, facilitate meetings and training sessions
  • Excellent communication skills both oral and written
  • Good computer skills, familiar with Word, Excel, PowerPoint, and data base management systems
  • Ability to problem-solve effectively and meet deadlines
  • Good listener, organized, flexible, open, honest and enthusiastic

Other Responsibilities
