Position Description

Core Competencies

  • Administrative Support training through an undergraduate diploma or degree program or equivalent educationĀ 
  • Demonstrated 3-5 years of experience as a senior administrative assistant
  • Spiritual gift of administration, shepherding and leadership
  • Ability to multitask and manage multiple priorities at the same time
  • Ability to handle change, implementing innovations across all platforms that are in use
  • Prior knowledge of ClickUp and Planning Centre Online (PCO) an asset

Responsibilities and Outcomes

  • Project Management and Event Management through ClickUp, PCO Calendar and the Event Registration Platform.
  • Assist with facility booking (external and internal requests), including Funeral and Weddings
  • SLT approvals on PCO CalendarĀ 
  • Assist with annual calendar planning process
  • Communicate with ministry leads and coordinators regarding event/program related topics and issues
  • Be the point of contact for questions, training and concerns (troubleshooting) for PCO, ClickUp, CRM and Kiosks.
  • Work with end users to provide coaching around best practices and tips on using PCO, ClickUp, Salesforce and other platforms used by the church
  • Support the implementation of Salesforce and other third party platforms.
  • Assist with journey mapping
  • Coordinate with stakeholders in gathering information for process mapping
  • Data Management across platforms - Salesforce, PCO, etc..
  • Data entry, Data Validation, Audits and CleanUp
  • Support First Time Guest, Volunteer, Prayer, Connect Groups, Parental Consent/Waivers and other processes - Salesforce, ClickUp, PCO and
  • Lead Management and Engagement Process (manage data from different lead sources, assignments/tasks, follow up)
  • Volunteer Management (intake forms, assignments/tasks, follow up)
  • Connect Groups (intake forms, assignments/tasks, follow up)
  • Prayer (intake forms, assignments/tasks, follow up)
  • Online Chat Host transcripts (lead data and follow up)
  • Form Management
  • Form creation and integration
  • Coordinate with Communications Dept. for branding
  • Manage intake forms and data
  • IT and Purchase
  • New employee IT Setup and computer purchase
  • Purchase office suppliesĀ 
  • Manage Kiosks - Purchase, iPad upgrades, maintenance, inventory and deployment
  • IT and Digital Environment Brief Updates
  • Perform other duties as assigned by the Executive Director of Administration
