The Need

After nearly two decades of continued growth and operational success in pioneering the work of protecting people from violence, IJM has become an $80 million organization with 1,000 global employees. As IJM continues this trajectory of growth and scaling of its impact, the Special Assistant to the CEO, IJM Canada position is responsible for supporting the CEO and IJM Canada leadership team by providing a combination of project management, writing and editing, research, and high level administrative and relationship support. This position also ensures that the CEO, the primary representative of IJM Canada, builds and enhances the organizations reputation in Canada. Finally, this position provides support to staff health and well-being.

This position may be based in the Greater Toronto Area and reports to the CEO, IJM Canada. Recruitment contact: Kirsten Caudill.


  • Skilled communicator: create highly professional presentations, in Microsoft Word & PowerPoint, that delivers well-received messages in both one-on-one and group settings;
  • Problem solver: identifies challenges, proactively seeks and recommends creative solutions by managing the IJM Canada’s CEO office correspondence, attending various meetings, creating reports, email and calendar management resulting in tracking the progress of Canadian leadership team;
  • Productivity expert: self-motivated, sets priorities, meets deadlines, handles multiple tasks simultaneously by providing high quality administrative coordination support to the CEO, IJM Canada resulting in effective use of his/her time;
  • Leadership specialist: proficient at anticipating needs, providing solutions, performing proactive coordination and processing travel arrangements, process monthly travel and expense reports;
  • People champion: builds relationships, interacts positively with people at all levels and supports the Canadian leadership team by planning and executing celebrations and retreats.
  • Technologically inclined: proficiently uses Microsoft Word, Excel, PowerPoint, Outlook, SharePoint; experience with MS Teams or Teamwork, Salesforce, Workday/Adaptive


  • Bachelor’s degree in related field (Business Administration or equivalent);
  • Achievement oriented: thrives in fast paced, high-volume environments, exceeds goals, lifelong learner
  • Minimum 5 years of experience in providing top-level administrative support in a fast-paced, professional environment;
  • Proven record in managing multiple projects simultaneously against competing priorities and to complete them with minimal oversight; and
  • Excellent problem solving, planning and implementing skills.
